Trim Your Inbox Challenge Tip #3 No more Scrolling: Set Urgent and Important

Welcome to day THREE of the trim your inbox challenge.

By now I hope you have a clear visual indicator of your produce. And you started implementing and using some of the rules to trim your inbox.

Today the tip of the day for today is about using a different type of clear visual indicator, specifically setting urgency and importance. So originally we just wanted to signal our to-do's. That was like a baby step. Now we're going to take it to the next level.

First of all, we all know if everything is urgent and important, then nothing is. And the quicker that you have created clear visual indicators of urgency and importance, the less scrolling you're going to do to figure out what you're supposed to do next in gmail. There is a way to have different colored stars, and I can suggest using those different colored stars as your indication of urgency and importance.

For example, a red star might mean I need to do that today. And a green star might mean I can do that next week. Again, quick, clear visual indicators in outlook, I separate the urgency and the importance. The flag is what I use to indicate urgency when it needs to be done.

I also use categories to indicate importance; is it a high priority, a middle priority or a low priority? And you can set those up in whatever color categories you'd like. But that way, when you go through to sort your messages in either of the programs, you can sort by color and you can start my flags and you can notice your categories.

And in theory, that's going to tell you where to start, the one who's in control of what you're doing in those messages.

But the longer time you spend scrolling, the less you get done. So when you get a message, if you don't do it right away, and it's going to sit in your inbox, you need to give it the urgency and importance indicator on your to-do items. So, you know, when you need to get back to it, that's your tip of the day for day three.
